        The hospitals in Helse Sør-Øst HF currently need systematising and external storage of human biological material. The material consists of paraffin blocks with tissue material cast in the block and glass /slides with coloured tissue material. The sample material belongs to Aker Hospital, Ullevål Hospital, Rikshospitalet, Radiumhospitalet, AHUS and Vestfold Hospital. There will be an option for the other hospitals in HSØ HF to join on equivalent terms.

        The hospitals would like to establish an external store with systematisation of the sample material with a system for retrieval and would like to receive tenders for moving and secure storage of sample material from relevant suppliers of these types of services.

        The assignment is for the re-packing and storage of approx. 18 700 cartons and the storage of new blocks and possibly phasing out outdated blocks.

        The tenderer will carry out the following assignments for this one-time operation:

        1) cataloguing and packing in boxes that ensures retrieval in a new archive,

        2) moving samples from OUS" archive to a new external store,

        Ad 1: cataloguing that ensures retrieval in a new archive.

        a— Every carton must be registered electronically in the tenderer´s own system for retrieval in a new archive. The number must be registered on the block, as well as which hospital the carton came from. Example: BG, which shows that the sample was received as biopsy, gaustad,

        b— the price per carton is wanted for this operation,

        c— tenderers must describe how the registered data can be transferred to the tenderer"s own data central in a way that fulfils the security requirements when handling sensitive information.

        Ad 2: Moving sample material to a new store.

        a— The actual moving is a pure transport assignment with special requirements for security before, during and after the transport,

        b— security shall be seen to so that all documents are safe from theft, fire, water and other damage whilst being removed from the current store until they are delivered to the new secure store,

        c— catalogue entries must be made for the transport, so that there is always an overview of which samples are being transported and of the delivery date to the new store. Tenderers must specify their routines and equipment requirements (vehicles) for the transport part.

        Pilot: Radiumhospitalet must be moved to the external store by XX. September 2018.
